How to Manage a Parent's Hospital Insurance Claim from Abroad
A practical guide for NRIs: cashless vs reimbursement claims, documents to keep, timelines to watch and how to get help on the ground in Mumbai.
When a parent is admitted to hospital in Mumbai and you live abroad, the insurance claim often becomes the most stressful part. Bills, TPA forms and insurer queries all need someone physically present. Here is how the process usually works and what you can do from wherever you are.
Cashless or reimbursement?
Cashless works when the hospital is in your insurer's network. The hospital's TPA desk sends a pre-authorisation request to the insurer, and approved amounts are settled directly between the insurer and the hospital. Reimbursement means you pay the hospital first and then file a claim with the insurer after discharge.
Before a planned admission
- Check that the hospital is a network hospital for your parent's policy.
- Inform the insurer or TPA in advance, as your policy requires (many policies ask for intimation a few days before a planned admission).
- Keep a scanned copy of the policy, health card and your parent's ID ready on your phone.
In an emergency admission
Ask the hospital's TPA desk to start the cashless request immediately and inform the insurer as soon as possible (policies usually specify a time limit, often 24 hours). Under IRDAI's 2024 master circular on health insurance, insurers are expected to decide on cashless requests within one hour and on final discharge authorisation within three hours of receiving the hospital's request.
Documents to collect
- Claim form, signed by the patient or nominee
- Original hospital bills and payment receipts
- Discharge summary
- Investigation reports, prescriptions and pharmacy bills
- Policy copy, health card, ID and address proof
- Cancelled cheque or bank details for reimbursement
After discharge
For reimbursement, the claim must be filed within the deadline in your policy (commonly 15 to 30 days after discharge). Keep copies of everything you submit and note the claim number. Insurer queries for missing documents are common; answering them quickly avoids delays.
